“Visa decisions are made by the German consular officer. Processing time is up to 15 working days. Confirmed exhibitor status grants a gratis visa per § 11 Abs. 1 of the German visa fee waiver provisions.”
What you need
- You must show purpose (invitation from a German company/authority + event/trade-fair documentation + trade-relations evidence), funds coverage (either own bank statements OR a German company's Kostenübernahmeerklärung OR a Vietnamese company's deployment letter), EUR 30,000 medical insurance with repatriation cover, proof of your situation in Vietnam, and a passport valid for 3+ months from your Schengen exit date.
Checklist
25- Schengen Visa application form completely filled out and signed by the applicant *
- Two recent, identical, biometric passport photos (45mm x 35mm) *
- Original passport or official travel document (No plastic covers/envelopes!) *
- If the applicant is not a Vietnamese citizen: Vietnamese residence permit for foreigners *
- Original of expired/old passports or travel documents (in addition to your current passport)
- Compulsory paid travel medical insurance (specifications: valid for all Schengen states, covers entire period of intended stay, covers the cost of emergency treatment and transport to home country for medical reasons, minimum coverage shall be EUR 30,000) *

Documents reflecting the nature of the business trip
- Invitation letter from company/authority in Germany with full address, stating the purpose and duration (precise itinerary!) of the business trip *
- Information on business event/congress/trade fair to participate in in Germany with details of organizer/host, with full address in Germany, duration (precise itinerary!) of event and reason to take part (e.g. confirmed congress participation, visitor ticket for trade fair, contract negotiations, etc.)
- Information reflecting the existence of trade relations or relations for work purposes stating details of company in Germany and in Vietnam
- Only applicable for exhibitors: Information on trade fair by submitting exhibitor ticket/exhibitor invoice/confirmation letter reflecting status as trade fair exhibitor. Applicants will be granted a gratis visa if the above documents are submitted and reflect name of applicant and/or employer.

Proof of employment
- Labor contract stating position, length of employment *
- Bank statements *
- Statement from the employer that the applicant is granted (paid or unpaid) leave *
- Social security booklet *

Only for company owners or self-employed applicants
- Business register *
- Company's tax return statement of the last 3 months *

Proof of sufficient funds for the entire visit
- Bank statements *
- Declaration of assumption of costs by the German company pursuant Section 66-68 of the Residence Act (Kostenübernahmeerklärung nach §§66-68 AufenthG) *
- Deployment letter by the Vietnamese company which confirms that the company bears all travel expenses *

Proof of family status of the applicant
- Marriage certificate (if applicable) + ID card of the spouse + residence permit of the spouse, if they currently stay in the EU/Schengen area *
- Birth certificate of all children of the applicant (if applicable) + ID cards of all the children + residence permits of the children, if they stay currently in the EU/Schengen area *
- Registration certificate (proof of residence) from the local police *

- Valid (existing) hotel bookings/reservations or private accommodation with full address (name, street, city, zip code, contact information, booking reference...) *
